Recording
How do I record a meeting?
Tap the Record button in the middle of the tab bar. Choose In person for a meeting in the room or Voice note for a quick memo. You can also start and stop recordings from your Apple Watch (your paired iPhone records), the Lock Screen Live Activity, the Dynamic Island, or with Siri Shortcuts.
Does it keep recording if I lock my phone?
Yes. Recording continues while your screen is locked or you switch apps. You'll see it on the Lock Screen and in the Dynamic Island, where you can pause or stop. A phone call pauses the recording.
When do I get my notes?
While you record, the app shows a live transcript, which you can hide. After you stop, the full transcript is created on your iPhone (Free and Plus) or in the cloud with speaker labels (Pro), and then summarised, usually within a few minutes. We'll send a notification when your notes are ready (if notifications are on).
Can I use BaseNotes without an account?
Yes. Choose Try without an account. Recordings stay on your iPhone and are transcribed on the device. AI summaries, cloud Ask answers and sync need a free account, and the Notetaker needs Pro. When you create an account you can move your guest meetings into it.
How long can recordings be?
Up to 30 minutes per recording on Free, 2 hours on Plus and 4 hours on Pro. The Record screen shows how much time you have left. See Settings → Plan & usage for your current limits.
Consent and recording laws
Do I need permission to record?
Often, yes. In the UK and EU you should tell people you're recording and have a good reason to. Several US states (such as California, Florida, Illinois, Massachusetts, Pennsylvania and Washington) require everyone's consent. Your employer or the meeting host may also have rules. You're responsible for getting any consent the law requires, so the simplest approach is to tell everyone at the start and stop if anyone objects. See section 4 of our Terms of Use.
Someone recorded me with BaseNotes. How do I get it removed?
Please ask the person who recorded you first, since they control the recording and can delete it. If that doesn't work, email support@basenotes.ai and we'll help where we can.
The Notetaker (meeting bots)
What is the Notetaker?
On the Pro plan you can send a bot called "BaseNotes Notetaker" to a Zoom, Microsoft Teams or Google Meet call, for up to 15 hours of calls a month. It joins as a participant, records the call and your notes appear in BaseNotes afterwards. Notetaker time shares Pro's 15 hours of cloud transcription a month with your phone recordings. It's optional: you can always record with your phone instead.
Will other people know the Notetaker is there?
Yes. It appears in the participant list as "BaseNotes Notetaker" and posts a message in the meeting chat saying it's recording and taking notes for you, and that anyone who prefers not to be recorded should tell you.
How do I send it to a meeting?
Go to Meetings → + → Send notetaker to a call and paste the meeting link, then choose to join now (even if the meeting has already started) or schedule it. If you connect your calendar you can switch on Notetaker for a meeting in Home → Calendar, or set a rule in Settings → Calendar & notetaker to send it automatically (for example, only to meetings with external attendees).
The Notetaker didn't join. Why?
Common reasons: the host didn't admit it from the waiting room, the organisation blocks bots, the link wasn't a Zoom, Teams or Google Meet link, or you've used this month's 15 hours of cloud transcription and Notetaker time. The meeting's card in the app shows the reason.
How do I remove the Notetaker from a call?
Open the meeting in BaseNotes and tap Ask notetaker to leave (or Cancel if it hasn't joined yet). The host can also remove it from the call.
Subscriptions and refunds
What do the plans include?
Free: 3 AI meetings a month, 30-minute recordings, 30 Ask questions a month, transcription on your iPhone and our standard AI model. Plus (£6.99 / $7.99 a month): 50 AI meetings a month, 2-hour recordings, 150 Ask questions a month, transcription on your iPhone, our advanced AI model, PDF export and email summaries, and an audio backup you can keep as long as you like. Pro (£12.99 / $14.99 a month, or £99.99 / $119.99 a year): unlimited AI meetings, 4-hour recordings, 300 Ask questions a month, our best AI model, cloud transcription with speaker labels for 15 hours a month (then on your iPhone), the Notetaker for Zoom, Teams and Google Meet (within the 15 hours), calendar auto-join and everything in Plus. Monthly allowances, including Ask questions, reset on the 1st. "Unlimited" is subject to fair use. Prices in your country and current allowances are shown in the app.
Is there a free trial?
Yes. New subscribers can try Pro free for 7 days, monthly or yearly (one trial per Apple ID). The plans screen shows the trial if your Apple ID is eligible. To avoid being charged, cancel at least 24 hours before the trial ends in Settings → [your name] → Subscriptions → BaseNotes.
How do I subscribe?
Go to Settings → Plan & usage → View plans. Have an offer code? Tap Redeem code at the bottom of the Plans screen. Subscriptions are billed through your Apple ID and renew automatically until you cancel.
How do I cancel?
On your iPhone open Settings → [your name] → Subscriptions → BaseNotes and tap Cancel Subscription, or use Manage Subscription in BaseNotes. Cancel at least 24 hours before the renewal date to avoid being charged again. You keep paid features until the end of the period you've paid for.
How do I get a refund?
Because payments go through Apple, refunds are handled by Apple. Request one at reportaproblem.apple.com. We aren't able to issue App Store refunds ourselves.
I've paid but the app still shows the Free plan.
Make sure you're signed in to the same BaseNotes account, then tap Restore on the plans screen. If that doesn't fix it, email us with the date of purchase (not your card details).
People and working together
How do I invite a colleague?
Open Meetings → People, tap the person and tap Connect (if they're already on BaseNotes) or Invite to BaseNotes. They get a notification if they use BaseNotes and an email either way. Requests to you appear at the top of Meetings → People: tap Accept. Once you're connected, tasks, Spaces and messages reach them straight away.
How do I share a meeting with the people who were in it?
Open the meeting and tap Share with… on the card under the tabs (or Share → Share with people). Everyone who was there and uses BaseNotes gets the notes, transcript and the tasks given to them, under Meetings → Shared with you. People you're not connected to get a request first and see the meeting when they accept. To take it back, use Share → Who can see this.
Colleagues can't see that I'm on BaseNotes. Why?
Your email address needs to be confirmed. Open Meetings → People and tap Confirm email: we email you a 6-digit code to type in. This is usually needed once if you signed in with Microsoft.
I got an invite email on my computer. How do I accept it?
Open BaseNotes on your iPhone, go to Home → Spaces → Enter invite code and type the 6-digit code from the email. The code only works for invites sent to the email address you sign in with. On your iPhone you can also just tap the link in the email.
Can I message someone one to one?
Yes. On a connected person's page tap Message. Your chats are under Home → Spaces → Messages, with notifications, and you can share meeting notes and tasks into them. Long-press a message to report it or block someone.
How do I see my Microsoft 365 (Teams and Outlook) meetings?
Sign in with Microsoft, or go to Settings → Calendars → Connect Microsoft 365. If your organisation asks for admin approval, your IT admin can approve BaseNotes once for everyone.
Who can see that I'm on BaseNotes?
People who have you in their People list (from their meetings or calendar) can see you're on BaseNotes. Turn this off in Settings → Privacy & data; people can still invite you by email.
Account and sign-in
I forgot my password. How do I get back in?
On the sign-in screen tap Sign in with Email, then Forgot password? Enter the email address you signed up with and we'll email you a 6-digit code. Enter the code and choose a new password, and you're signed in. The code works once and expires after 30 minutes. If it doesn't arrive within a few minutes, check your junk folder, then tap Send a new code (you can ask for up to 3 codes an hour). Resetting your password signs you out on your other devices. The first time you reset it, it also revokes your personal API tokens and share links and pauses your webhooks, in case someone else set up the account with your address: check them in Settings → Integrations.
If you created your account with Sign in with Apple, Google or Microsoft, it has no password: use the same button again. If you ask for a code anyway, we'll email you a reminder of how you sign in.
How do I change my password?
Go to Settings → Account → Change password, enter your current password and choose a new one (8 to 72 characters). Your other devices are signed out. This option only appears for accounts that sign in with email.
My password stopped working after I used Sign in with Apple, Google or Microsoft
If you signed up with email and a password and later used Sign in with Apple, Google or Microsoft with the same email address, that button opens the same account with all your meetings. We hadn't confirmed that the email address was yours, so to make sure nobody else who signed up with it can still get in, we removed the password, signed out your other devices, revoked your personal API tokens and share links, and paused your webhooks. Keep using the same button to sign in (share a meeting again if you need its link). In Settings → Integrations, make new API tokens if you need them, and turn a webhook back on only if you recognise its URL. If you had reset your password with an emailed code before, nothing changes.
Your data, deleting and exporting
How do I delete a meeting?
Swipe left on the meeting in the Meetings list and tap Delete. Its audio, transcript, notes and tasks are deleted.
How do I delete my account?
Go to Settings → Reset → Delete account and confirm. Your account, meetings, audio and tasks are deleted immediately from our systems (backups roll off within 30 days). This does not cancel an Apple subscription, so cancel that separately. To remove data from just this iPhone, use Clear All Data on This Device.
How long do you keep my recordings?
On Free, recordings stay on your iPhone and aren't uploaded. On Plus and Pro, audio is backed up to our servers and deleted 30 days after it's processed, unless you choose a shorter time, or to keep it until you delete it, in Settings → Privacy & data. Transcripts and notes stay until you delete them or your account. See the Privacy Policy for details.
Can I export my notes?
Yes. In a meeting, use the share menu to export the notes and transcript as text (or PDF on Plus and Pro), or create a share link that expires after 1 to 90 days. For a full copy of your account data, use Settings → Privacy & data → Export my data, or email us.
Do you use my meetings to train AI?
No. We don't use your content to train AI models, and our AI providers don't train on it under our agreements with them. We don't show ads or sell your data.
